26

26

26

Weâve even found ourselves helping partners and clients get set up and using Notion with their teams. Throughout this process, weâve developed a structured pattern of connected databases that work for us, and we thought weâd share that setup as a template for everyone. Hopefully, this helps spark some ideas, conversations, or merely ease the daunting nature that can be a brand new notion workspace.
TLDR; hereâs the Notion Template.
Primary Tables
01. The Base: CRM
If you think about the life of a typical project, it starts as a lead. Perhaps itâs an RFP or a friendly Referral. Your first step is to create a new entry in the CRM table (ours is based on the Lightweight CRM Template from Notion, with a few key changes to fit our needs).

02. The Middle: Projects
Once a project closes, weâll add an entry to the projects database and relate it to the corresponding entry on CRM. The project page is where we add high-level, relevant project details. This page will vary based on your workflow, but for us, it typically looks like a collection of Dropbox links to the root folder, the Scope of Work, and the occasional Figma embed.

Sample Project Entry
03. The Top: Tasks
Here is where things may get a little overwhelming at first, but bear with us. We use a third table for all tasks. Here you add every task across your entire agency, and then assign essentials, such as owner, project, client, due date, etc. By keeping all the tasks in a central table, we can pull in filtered instances of this table anywhere weâd like. One example of this is on individual project pages we often embed an instance of the tasks table and filter by that specific project.
Additional Tables
These are two tables, that while not essential to the above workflow, weâve found to be incredibly helpful as reference tables.
04. Clients
Every Project entry gets a relation to a Client (if the client doesnât exist yet, you can easily add the entry from the project page). The client database becomes a collection of valuable relations that, through some filtered views, can provide helpful insights for your business.

Gain helpful insights such as total revenue per client.
05. Homebase
This page is technically unnecessary (a highly filtered view of tasks will get you the same result), but weâve found it to be beneficial, especially to folks less familiar with Notion. Pulling a page from Basecamp, our Homebase is simply a filtered view of tasking showing each person whatâs on their plate for the week. (This also functions as an easy place to add quick tasks as they pop-up throughout the week.)

Homebase View
Would love to hear any questions or feedback you have, or how youâve been using Notion with your team!
Full Notion Template: <https://www.notion.so/nicer/Notion-Agency-Template-4f94c7dd65c94a9988dc175abb35f19e>"])

Live chat has shown itself to be a strong and effective way at establishing connections. In fact, 44% of online consumers say live chat is one of the most important features a site can provide. Not only that but chat consistently has the highest satisfactions out of any channel. Here are some best practices for talking to customers.

Speed is ð
Response time is of utmost importance. To put it another way, patience is a virtue you canât count on a visitor having. Responses within the first 5 minutes of a message have a 400% higher chance of a reply than responses after 90 minutes.
But Empathy is ð
Simply getting more interactions is great but reacting the right way is even more valuable. Be friendly and courteous, use emojis to keep things
light-hearted, and always say your please and thank youâsâââYou know,
the basics you hopefully learned in grade school ð. Studies show that customers tend to have higher levels of engagement when businesses interact in a friendly tone.
Yes, this includes the guy who starts out with âyou all suck, why canât I. . .â Sometimes all someone needs is a friend to be friendly.

Listen to complaints
[HUMBLE. by Kendrick Lamar
](https://itunes.apple.com/us/album/humble/id1223585496?i=1223585761)Learn to appreciate the complaints you get. Theyâre essential in helping your business grow. This can be a tough pill to swallow and at times can feel incredibly frustrating, but be thankful for the complaints. On average, for every person who voices a complaint thereâs as many as 26 customers who have had similar issues and not spoken up. These complaints help you see your site or product through someone elseâs eyes. That can be incredibly beneficial when you let it.
Also, in support, as in life, own your mistakes. An apology goes a long way towards keeping customers satisfied (more than double according to some studies).
Simply Put, Be Human.
In a market thatâs increasingly cluttered with bots and pop-ups vying for peoples attention, the gut reaction may be to try and shout above the noise. However, remember the goal is to be helpful not obnoxious. Be kinder, not louder, and your customers will thank you.
Join the more than 3500 teams already using Smallchat to connect with their visitors. Smallchat is an easy to use yet powerful Slack integration made for chatting, in real-time, with visitors on your website."])

We use it for internal communication, keeping up with a community of friends and like-minded creators, and of course, Smallchat. So we thought weâd share a few tips and tricks weâve found incredibly helpful, particularly when handling heavy amounts of Smallchat traffic.

ð® All Threads View
Whenever we have a bunch of conversations going on around the same time, the All Threads view (cmd + shift + T) will become your best friend. You can easily bounce back and forth between different threads and see every conversation as itâs happening from one central spot.

ð Pin Answers to Your Most Common Questions
This was something we started doing right after launch week. It has since become a huge time saver for us. If you find yourself often answering the same few questions over and over, simply pin a great response in your channel. This way itâs always there when you need it. No more hunting down a specific snippet of code or that link to your discount code.
If you need some more info on this check out Slackâs how to.
ðï¸ Organize Your Conversations
Often times youâll find that certain pages of your site (i.e. a pricing page or pages behind a user login) will generate different types of conversations. We recommend breaking those out into separate channels for better organization. At Smallchat we handle this by having conversations from our marketing site, small.chat, go to one channel #chat-smallchat , and then we have another channel, #chat-smallchat-support which handles conversations coming from the Smallchat Dashboard. This is incredibly helpful because we know messages in the support channel are from users, not just visitors, and as such their chats tend to be more troubleshooting or support related rather than the general inquiries we receive from small.chat.

â
Add Reactions
This is quick and fun Slack tool weâve started using to allow us to quickly see the status of conversations. We add reactions after conversations as a simple means of resolution so you can quickly skim a channel and see chats that led to a sale ð° or a conversation mentioning a ð report, etc.
âï¸ Message Formating & Messsage Editing
When we were building Smallchat, we wanted everyone to take advantage of the convenient and fast message formatting that Slack offers. So go ahead and \\bold that key step\\ or send a snippet of \\`code as a code block\\`. Your customers will see it exactly how you intended.
Side note: For those of you ever on the visitor end of a Smallchat conversation, you too can use all the formatting shortcuts youâd use inside Slack. ð
\\\\Also, for those of us who canât spell to save their lives, *you can edit
messages quickly even after theyâve been sent.* Slack has a great shortcut for thisâââsimply press the up arrow while in a thread to quickly edit the last message you sent.

ð Notifications
This one is huge. Smallchat relies on Slack notifications to notify you whenever you have an incoming message. Youâll definitely want to have notifications turned on, but that said, no one wants a computer thatâs just knocking at them all day. So on our team, we did a bit of custom configuring to get our Notifications just right (Slack is great at this btw).
Hopefully these few tips will make your Smallchat experience (or simply your daily Slacking) even better. Iâm sure thereâs some great tips and shortcuts weâve left out, and if thereâs anything you find helpful be sure to share it in the comments or just chat with us at small.chat! âï¸"])

With the Smallchat widget anyone on your site can ask questions, and you can respond directly from Slack, turning visitors into potential customers through real-time interactions.
Smallchat runs in a channel on your teamâs Slack account, and every conversation you have with a visitor creates a new thread in that channel. Using threads keeps your Slack free of channel clutter while helping you stay on top of any new messages with Slackâs built-in thread notifications and management.
Adding a chat platform to your site shouldnât mean logging into an extra piece of software to respond to customers. Instead, make the tools youâre already using work harder for you.

Built for everybody
There are a lot of great chat platforms out there. Smallchat is different in one important way: we built it for the little guys. The freelancer. The local business. The small team launching a project on ProductHunt. That means we have a free tier with no limits on the number of visitors, conversations, contacts, or operators. Your bill shouldnât go up if your site gets a wave of traffic or a new member joins your team.

How it works
Add Smallchat to your Slack team like you would any Slack integration. From there youâll be taken to your teamâs Smallchat dashboard, where youâll create your first channel, i.e.acme-support. Then just paste the embed script anywhere in the body of your siteâs HTML.
(If youâre using a CMS like Squarespace or Wordpress, look for an inject script option and add it there.)
Thatâs all you need. Amid the clamor on social media, we released Apple Plug, a parody product that would remove the headphone connector of your iPhone 6, âupgradingâ it to an iPhone 7.
It blew up. Adweek, The Verge, and The Atlantic wrote articles about Apple Plug. We were a trending topic on Twitter and featured in a Twitter moment. We hit the front pages of Reddit, Imgur, and Product Hunt. Friends were texting us that they saw Apple Plug on BBC or read about it in Mashable and Gizmodo. Suddenly the silly joke we made in a private Slack channel was something the whole Internet was laughing at.
Hereâs a rundown of what worked, what didnât, and how launching our studio with a parody product gave us an audience to launch our first real products.
Our Goals
Weâre a small team of designers getting ready to launch some mobile games and apps through our studio, Nicer. Spending time on a parody product seemed like a chance to get followers for our brand-new Twitter account and maybe a few newsletter subscribers.
We were hoping to get some of our favorite parody accounts like not Jony Ive to tweet about Apple Plug (He didnât.) and maybe even some real-people Twitter accounts weâre fans of like MKBHD or Ryan Hoover. (They did.) We hoped for a few thousand hits on the site, converted to maybe 100 Twitter followers and 100 email subscribers. And most importantly, we wanted our only expense to be the $10 domain name, ApplePlugs.com.
Our Launch Plan
Since we had no audience, the plan was pretty simple. Tweet from our new company account, post a few Dribbble shots, and use our personal accounts to share on every site that might draw traffic. The site was live Wednesday morning, but we waited to share it until just after official confirmation that the iPhone 7 wouldnât have a headphone jack.
Top Traffic Sources

Twitter: We launched the site on Twitter first and pretty quickly got some people with serious follower counts to retweet us by replying to other tweets about the iPhone 7 not having a headphone jack. Replies from our personal accounts tended to get more traction than replies from our studio account.
Reddit: We found Reddit to be one of the easiest audiences to reach because we could post in subreddits with an audience fit for the joke. Our post on r/apple got 5k upvotes, as did a post on r/technology by someone we didnât know that hit the front page.
Imgur: Submitting a gallery on Imgur is kind of a shot in the dark, but our gallery did make it to the front page briefly.
Facebook: Perhaps our biggest missed opportunity: we didnât make a Nicer Studio page on Facebook. (We have one now.) Weâre not big Facebook users, but Facebook turned out to be our largest audience by far, bringing 3x the traffic we got from Reddit and 10x the traffic we got from Twitter.
Our Approach to Hosting

We put the site on a free Github Page, which is awesome for quick projects like this with static content but has a 100gb/month recommended bandwidth limit. The Apple Plug site with images runs at over 4mb, and we got more than 1.5 million views in a day, which adds up to around 7 terabytes of bandwidth, waaay more than Githubâs limit. To handle this we added a free plan from Cloudflare, which we canât recommend enough. We were able to transition to their CDN seamlessly, and they handled 99% of our bandwidth. (In total over the last week: 9.69 terabytes out of 9.80 terabytes.)
Email List Conversion Rate

Even for a parody product, our conversion rates seem low. We didnât want to include popups or ads, but we added a small email subscription form to the bottom of the Apple Plug site, which got us over 5,000 subscriptions. (1 out of every 400 visitors subscribed.)
We used Mailchimp, which has a great free plan but caps out at 2,000 subscribers. (To email 5,000 subscribers you end up paying $50/month.) We havenât decided whether thatâs the best route for us to take long-term, but Mailchimp provided developer-friendly forms that took minutes to add to our site.
Press

Getting press for our project was one of the hardest things for us to predict. We tried reaching out to individual journalists on Twitter, but that almost never worked. Most journalists who wrote about Apple Plug found it organically from someone in the tech community who tweeted about it.
Sites like The Verge surprisingly didnât contribute significantly to our traffic. Links to our site were often buried in paragraphs of copy, so click-through rates were pretty low. However, these links did help the SEO of Nicer.io significantly. Our website, Twitter, and Dribbble pages jumped to the top of results for âNicer Studioâ and the first two pages of results for âNicerâ.
Whatâs Next
In retrospect, our goals were low. We had over 2.5 million page views, grew our email list to over 5,000, and went from 6 Twitter followers to over 1,500. Having an audie
26nce changes some things, but it doesnât change the direction of Nicer.
Over the next few months we plan to release some real products. One that weâre particularly excited about is a beautifully minimalist 3D game for iOS and Android called Blox. If you want to keep up with our work on that and other projects, follow us on Instagram. Thatâs where weâll be sharing our work in progress. You can also follow us on Twitter. Thatâs where weâll let you know when we launch something new.
Something New
Speaking of new products: Today weâre releasing 2 free sticker packs for iMessage. Once youâve installed the free upgrade to iOS 10, you can download these for free from the App Store.

The first sticker pack is called Small Talk, a set of 18 beautifully lettered messages to brighten up any conversation. All stickers were illustrated by Alyssa Guerrero.
You can find Alyssa on Instagram and over at alyssaguerrero.com.
Enjoy!
> If you like our work, follow us on Twitter @nicerstudio."])

We designed the interface for Genie â the first generative AI system to enter power grid operations, globally.
OATI & California ISO
OATI holds 98% market share in energy grid software. Their platform serves the operators who manage power generation, transmission, and distribution across the United States and Canada.
We were brought in to design the user experience for Genie, an AI assistant that helps grid operators make real-time decisions. The system uses retrieval-augmented generation to search operating procedures and scans hundreds of critical keywords across outage data to surface anomalies and risks.
This isn't a chatbot. It's a decision-support tool for people managing critical infrastructure â where a mistake can mean blackouts affecting millions.
Understanding the Users
We spent weeks interviewing California ISO operators. These are professionals with 30-40 years of experience who work with interfaces that look like they were built in the 1980s â because they were. Every element on their screens serves a purpose. Every color has a meaning that's been standardized across the industry for decades.
We identified five distinct operator roles â transmission desk, generation desk, planning engineers, real-time operations engineers, and reliability coordinators â each interacting with the same underlying data but needing completely different views and workflows.
The MISO Win
Our design work for OATI was the key factor in winning a major contract with MISO â the Midcontinent Independent System Operator. MISO is the largest energy grid operator in North America, managing power across 15 US states and the Canadian province of Manitoba. It's a $600M organization.
The resulting engagement is a multi-year, 7-8 figure contract. The design work didn't just look good â it directly generated transformational revenue for the client.
What We Learned About Energy
Respect Institutional Knowledge
Energy grid operators have developed workflows, color systems, and mental models over decades. Our job wasn't to modernize their interface according to contemporary design trends. It was to enhance their existing workflow with AI capabilities while preserving the expertise and conventions they rely on every day.
Design for Zero Downtime
When your user is managing power for 15 million people, "we'll fix that in the next sprint" doesn't work. Every state, every error path, every edge case matters. We designed with the understanding that the interface must be reliable and predictable under every condition.
Data Density Is a Feature
Energy operators need to see dozens of data points simultaneously. Power flow, line congestion, outage status, generation capacity, weather data â all at a glance. The design challenge is organizing information so critical signals are immediately visible while supporting detail is accessible without friction. Material Design wasn't built for this. We designed from first principles.
AI Needs Trust
Grid operators won't blindly follow an AI recommendation that contradicts their decades of experience. The Genie interface was designed to surface AI insights as evidence-backed suggestions â with clear citations to operating procedures and data sources â rather than opaque directives. Trust is earned through transparency.
Services for Energy & Utilities
UX Audit â Evaluate existing energy software interfaces against operator workflows and identify opportunities for improvement. Our OATI engagement started with an $8K audit that led to a long-term design partnership.
Product Design â Complex dashboard design, role-specific interfaces, real-time monitoring views, and AI-powered decision support tools.
AI Interface Design â Specialized design for AI features in critical infrastru
26cture contexts. Natural language interfaces, alert systems, and decision-support tools designed for high-stakes environments.
Rapid Prototyping â Interactive prototypes for client presentations, conference demos, and stakeholder alignment. 26self.__next_f.push([1,"Financial Services & Fintech
Products that handle money deserve serious design.
We design and build digital products for fintech startups, banks, and financial services companies â transaction platforms, banking interfaces, and financial workflow tools where trust, precision, and security are non-negotiable.
Discuss a Fintech Project â
Our Fintech Experience
Earnnest â Modernizing Real Estate Transactions
Earnnest is transforming how earnest money moves in real estate. We've been a long-term product partner â designing and developing the platform, and investing in the company. Earnnest is currently targeting ~$5M in revenue with plans for exit in the near term.
The product handles sensitive financial transactions in a regulated environment. Every design decision accounts for the trust signals, security workflows, and compliance requirements that financial products demand.
Southern First â Community Banking
We've designed for Southern First, a community bank modernizing its digital experience. Banking interfaces present unique challenges â multi-role access, complex navigation across product lines, regulatory data requirements, and the need to feel both modern and trustworthy.
Payment Infrastructure
Across multiple products, we've designed and integrated payment systems using Stripe and other processors. Marketplace transaction flows, subscription billing, payroll integrations, and multi-party payment distributions.
What Makes Financial Product Design Different
Trust Is Visual
In financial products, design communicates trust. Clean layouts, consistent patterns, precise data display, and careful typography all signal reliability. A fintech product that looks unpolished is a fintech product that loses users â because people don't entrust their money to software that feels careless.
Precision Matters
Rounding errors, ambiguous number formatting, and unclear transaction statuses aren't minor bugs in financial software. They're dealbreakers. We design with obsessive attention to how financial data is displayed, formatted, and communicated at every touchpoint.
Multi-Role Complexity
Financial products typically serve multiple user types with different needs and permissions. A banking customer sees their accounts. A loan officer sees applications. An administrator sees compliance data. The product needs to serve all of them coherently without creating a confusing, permission-gated maze.
Regulatory Awareness
We design with regulatory constraints in mind. We're not compliance lawyers, but we understand that financial products operate within strict rules about data handling, transaction processing, and user communication. We design interfaces that support compliance rather than working against it.
Services for Financial Services
Discovery & Strategy â Map financial workflows, identify user types and permission structures, define compliance-aware product scope, and produce detailed build plans.
Product Design â High-fidelity design for transaction platforms, banking dashboards, payment interfaces, and financial management tools. 26self.__next_f.push([1,"Healthcare & Life Sciences
Product design for the people keeping patients safe.
We design and build digital products for healthcare organizations â physician scheduling platforms, clinical workflow tools, patient-facing applications, and operational systems where reliability isn't optional.
Discuss a Healthcare Project â
Our Healthcare Experience
Healthcare product design is different from other industries. The users are experts with deeply ingrained workflows. The stakes are high â scheduling errors affect patient care, not just convenience. The regulatory environment adds constraints that consumer-oriented designers rarely consider. And the competitive landscape includes entrenched incumbents with massive market share.
We've designed products in this space and understand these realities firsthand.
Physician Scheduling & Workforce Management
We designed a scheduling platform for Simpliphy that integrates physician scheduling with compensation data â a combination that incumbent solutions like QGenda ($2.2B valuation) don't handle well. The design accounts for contract compliance tracking, shift-swapping workflows, multi-location coordination, and real-time visibility into how schedule changes affect provider compensation.
We mapped three distinct user roles â practice managers, hospital administrators, and network coordinators â each with different workflow needs and information requirements. The interface adapts to each role rather than forcing everyone into a one-size-fits-all view.
Hospital Systems & Enterprise Health
We've partnered with AdventHealth, one of the nation's largest health systems, on product design and development. Enterprise healthcare work requires navigating complex stakeholder environments, integration with existing hospital systems, and designing for workflows that span departments, facilities, and care settings.
What We Understand About Healthcare
Expert Users Require Expert Interfaces
Healthcare professionals don't need "simple" interfaces. They need interfaces that match their expertise â information-dense, role-specific, and designed around the clinical or operational workflows they perform dozens of times daily. We don't simplify at the expense of functionality. We organize complexity so the right information is visible at the right time.
Compliance Is a Design Constraint, Not an Afterthought
HIPAA, state regulations, credentialing requirements, and facility-specific policies all shape what a product can and should do. We design with these constraints in mind from day one, not as a bolt-on review at the end.
Integration Is Everything
No healthcare product exists in isolation. It connects to EHRs, scheduling systems, payroll platforms, credentialing databases, and more. We design products that fit into the existing ecosystem rather than demanding that the ecosystem rearrange itself.
The Switching Cost Is High
Healthcare organizations don't switch tools lightly. Proving the value of a new product requires demonstrating clear ROI â reduced scheduling conflicts, lower administrative burden, better contract compliance, or measurable cost savings. We design products that make that value visible and measurable from the start.
Services for Healthcare
Discovery & Strategy â Map clinical or operational workflows, identify pain points, define the product scope, and produce a build plan that accounts for compliance and integration requirements.
Product Design â High-fidelity UX/UI design for complex healthcare interfaces. We designed and built both platforms â and invested in the company.
The numbers tell the story: $800K+ in monthly marketplace sales, 50+ AI HDR photo editing orders daily, 300+ signups overnight at launch, and a platform that now touches a significant portion of the US real estate listing market. The platform includes AI-powered photo editing, geographic search, membership management, and a complete booking-to-delivery workflow.
We've been designing and developing this product across multiple years as it evolved from a simple editing marketplace into a comprehensive real estate media ecosystem.
Earnnest â Real Estate Transaction Technology
Earnnest is modernizing how earnest money moves in real estate. We designed and developed the platform that digitizes a process that still relies on paper checks in most of the country. Complex transaction workflows, multi-party coordination, and financial compliance in a high-trust environment.
Terratory â Lawn Care & Property Management
While not traditional real estate, Terratory serves the property management and lawn care industry with planning and operational software. We invested in and built the product.
What We Understand About Real Estate Tech
Marketplace Dynamics
Real estate platforms are often two-sided or multi-sided marketplaces. Photographers and editors. Buyers and sellers. Agents and service providers. Designing for multiple user types with competing needs â and creating a transaction model that's fair and transparent for everyone â is a specific skill set we've developed through years of marketplace work.
Geographic Search & Discovery
Real estate is inherently local. Search and discovery features need to account for location, radius, service coverage areas, and regional market dynamics. We've built geographic search systems with Airbnb-style filtering, live result counts, and multi-tier result ranking (premium members, claimed profiles, unclaimed profiles).
AI Integration for Media
We integrated AI photo editing into the Pixlmob marketplace â automated HDR processing at 75¢ per photo that handles the bulk of routine editing work. The AI integration includes quality controls, human-editor fallback options, and a pricing model that provides value to both photographers (faster turnaround) and the platform (higher margins).
High-Volume Transaction Processing
Real estate platforms process significant transaction volumes. Pixlmob handles $30-40K in weekly Stripe payouts. Designing for this scale means robust order management, clear transaction status tracking, and reliable payment processing with proper error handling and reconciliation.
Services for Real Estate
Discovery & Strategy â Map the real estate workflow you're digitizing, identify user types and their needs, define marketplace mechanics, and scope the product.
Product Design â Marketplace interfaces, search and discovery systems, booking flows, transaction management, and dashboard design for property tech platforms.
Product Development â Full-stack development with payment processing, geographic search, file management, AI integration, and the APIs needed to connect real estate workflows.
AI Integration â Adding AI capabilities to real estate products â automated photo editing, intelligent search, property data enrichment, and workflow automation.
Real Estate Companies We've Worked With
Pixlmob â Full product design and development, invested
Earnnest â Product design and development, invested
Terratory â Product design and development, invested
Building for real estate? It's the first thing users see every day. Get it right, and users engage. Get it wrong, and they stop logging in.
Good dashboard design isn't about cramming more data onto the screen. It's about understanding which metrics matter for which user, presenting them in a scannable hierarchy, and making the path from "seeing data" to "taking action" as short as possible.
We've designed dashboards for franchise operators, energy grid managers, healthcare administrators, and financial teams â each with different data priorities and action patterns.
Multi-Tenant Architecture Shapes Design
Enterprise SaaS products serve multiple organizations, each with their own users, permissions, data, and workflows. The design needs to handle tenant isolation, role-based access, organization-level settings, and the inevitable "enterprise customer who needs a custom field."
We design with multi-tenancy in mind from the start, creating flexible permission structures and customization frameworks that scale as you add customers.
Onboarding Determines Adoption
The gap between signing a contract and getting value from SaaS software is where most products lose users. We design onboarding experiences that get users to their first meaningful action as quickly as possible â progressive disclosure, contextual guidance, and smart defaults that make the product useful before the user reads a single help article.
Integration Is a Feature
Enterprise customers don't adopt products in isolation.
